 General Terms and conditions

  1. All quotes are subject to availabitily. Guests wishing to avoid disappointment should confirm provisional bookings as soon as possible.
  2. Due to unforeseen circumstances the price of certain items may be increased without prior notification.
  3. Music to stop at 23:30 and bar to close at 24h00.
  4. Any functions wishing to continue later than normal time will be charged with an additional venue hire and staff costs.
  5. After hours venue hire will be charged at R1,000.00 per hour or part thereof – R35.00 per hour per waiter – R35.00 per hour per barman.
  6. Children under 12 will be charged 50% of the agreed adult menu price and children under 4 years of age are free.
  7. No staples or nails to be used for attaching any decorations to the walls or partitions.
  8. Secure parking is available, but all our facilities are utilized at your own risk at all times.
  9. Gratuities are not included in our pricing and are optional at the discretion of the client.
  10. Additional items requested can be either supplied by the client or hired at the client's cost.
  11. All prices are inclusive of 14% vat.

Bookings

  1. We are happy to hold a provisional booking for your function for 14 days
  2. If a 50% deposit is not paid 14 days after the initial enquiry – Ingwenya Country Escape reserves the right to release the provisional booking without any further notice to the client.
  3. All payments made within the required time period are non refundable.
  4. All changes and cancellations in regard to the function must be made in writing by the client.
  5. Cancellations 60 days prior to the function/wedding date will incur a 100% cancellation fee.

Loss / Damage

  1. Neither Ingwenya Country Escape nor its agents or employees shall be liable for any damages or loss which may be caused to any of the goods of the customer, its employees or invitees, brought onto the premises for whatever reason, nor for any injury or loss of life of the customer or its employees or invitees, howsoever caused.  The customer further identifies and holds harmless Ingwenya Country Escape against any claim that may be made against the company (Maghilda Investments (Pty) Ltd) by any third party relating to the provisions of this clause.
  2. Should any damages occur to any property belonging to Ingwenya  Country Escape - buildings, gardens, décor, carpets, linen, crockery, cutlery or any hired goods brought onto the premises for the function – the client will be held responsible and billed accordingly.
  3. Candle burns / wax damage will be charged to the client.
  4. Ingwenya Country Escape will not be held liable for any interruptions of services (water, electricity, sanitation)

Bar Services / Food

  1. No beverages, spirits, beer or food may be brought onto the premises without written consent.
  2. Corkage will apply to bottles of wine and sparkling wine brought onto the premises with the written consent of Ingwenya Country Escape

Chapel

  1. Included in the chapel hire is a podium, red carpet, registration table and guest chairs/benches

Menu

  1. Certain dishes served are subject to seasonal availability
  2. All prices include vat and are subject to change with prior written notification.
  3. Specialised dietary requirements such as halaal and kosher meals are subject to a surcharge.
  4. Should actual numbers fall below that of the guaranteed minimum, charges would be based on the guaranteed number.
  5. Should the actual numbers exceed that of the guaranteed number given, billing will be based on the actual number.
  6. Final numbers must be submitted in writing 72 hours prior to the function date.
  7. All entertainers meals should be included in the guaranteed number.

Payment Procedures

  1. A booking can only be confirmed by a 50% deposit of the total food bill and venue hire quotation.
  2. The outstanding amount of the total food, beverages and extras bill must be settled 10 days prior to the wedding/function date.
  3. The final appointment to finalise the function procedures, final checklists, final confirmation of the menu and bar requirements and final anticipated numbers will take place no longer that 7 days prior to the function.
  4. Should the client decide on an open bar the limit is payable 7 days before the function.

Deposit

A deposit of 50% is required within 14 days of making the provisional booking. 

Payment must be made by cash / credit card or by electronic or direct transfer to our bank account as detailed below.

All deposits paid are non-refundable in the event of a cancellation or postponing the function.

Upon paying the deposit electronically, proof of deposit must be faxed to 011 659 0632 or scanned and e-mailed to accounts@ingwenya.com.

A deposit or credit card pre-authorisation for 15% of the total value of the function is required for potential damages and or extras that might be incurred,  7 days prior to the function and will be refunded within 7 days of the function / wedding.
